Meeting room sizing guide: huddle, small, medium, large and boardroom

Standardising room types makes support simpler and user experience consistent. These starting points are typical, not rules.

Huddle (2 to 4 people)

An all-in-one video bar with a single display, wireless sharing and a small touch controller or calendar panel. Mount the display at a comfortable height and keep cable runs hidden.

Small room (4 to 8)

A video bar with a built-in camera and microphones suits most small rooms. A display of around 55 to 65 inches, depending on seating distance.

Medium room (8 to 12)

A modular system with a camera positioned for the table, table or ceiling microphones, and a larger display or two. Consider speaker tracking.

Large room (12 to 20)

Multiple microphones, a more capable camera or two, speakers distributed for even sound, and large displays or a projector. Acoustic treatment becomes important.

Boardroom

Often the most visible room, with a premium finish and flexible needs: presentations, hybrid calls and sometimes recording. Plan for ceiling microphones, multiple displays, camera options and a clean cable-free table.

Common elements

Wireless presentation, one-touch join, a room booking panel, accessible controls and a consistent layout across rooms.

Viewing basics

Seating distance sets display size. As a rough guide, the farthest viewer should sit within about three times the screen height for comfortable text reading. Always confirm with a layout drawing.
